National Document Register

Security & continuity

Built to be trusted for the long term

Fireproof, flood-safe, insured storage; a secure record of what we hold; and a continuity guarantee so your documents are safe for the long term.

Physically secure

Your documents are held in fireproof and flood-safe storage, with controlled access and full insurance cover for documents in our care.

Properly recorded

We keep a secure record of exactly what we hold for you and who is authorised to retrieve it, so nothing is lost track of and retrieval is quick and verified.

Findable when it matters most

The moment documents are most needed is often the hardest: after a death, when a family is trying to find a will. We make that simple, with a clear, verified retrieval process for your executors and attorneys.

Your data, protected

We handle your personal information in line with UK data protection law and are registered with the Information Commissioner's Office (registration number ZC242588).

Our continuity guarantee

The most important question to ask any storage provider is what happens to your documents if that provider is no longer there. A will may need to be found decades after it was written, so our answer is a set of written commitments rather than a reassurance.

  • Your documents are always yours

Documents we hold remain your property, or your firm's, at all times. They are held in our care, never owned by us, and never become assets of the company.

  • At least 90 days' written notice

If we ever decide to stop providing the service, every client and every partner firm will be told in writing at least 90 days in advance, with a clear explanation of what happens next.

  • The register is held in duplicate

Our register of what we hold, whose it is and who may collect it, together with the scanned copies, is backed up securely and separately from the documents themselves. Even after an unexpected event, every document can be identified and matched to its owner.

  • A plan that does not depend on one person

Our written continuity plan sets out who carries out these steps, and how, if the director is unable to act. It is reviewed every year.

  • Partner firms keep full control

Professional partners can ask for a complete index of the documents we hold for their clients at any time, and receive one automatically on leaving. A copy of the continuity plan is available to partner firms on request.

The contractual position is set out in section 11 of our Storage Terms and in every written partner agreement.
